 Under the direction of the Payroll Operations Supervisor, Sr. Payroll Operations Analyst performs data in a variety of complex accounting functions in the preparation, processing, maintenance, verification and reconciliation of employee leave information, payroll/benefit records and payment of funds for a large North America division of the company; This position requires comprehensive knowledge of payroll, technical and communication skills, functional and transactional audits of electronic data, as well as experience in building and maintaining relationships with internal/external customer. This is a high-volume payroll center located in Santa Monica, California.

 
DUTIES AND RESPONSIBILITIES
 
You will be responsible for payroll processing activities, including the following:
  • Display payroll operational best practices with regards to bi-weekly payroll functions.
  • Process payroll and maintain payroll information as required.
  • Assist and lead operation support staff to complete daily payroll duties
  • Perform functional and transactional audits using interface electronic data
  • Perform entry adjustments for all types of payroll related transactions (i.e. new hire, termination, leave of absence, benefits deductions, garnishments, direct deposit, W-4 elections, state withholding certificates, etc.) into payroll system (Ultipro).
  • Import and audit Third Party Vendor transactions including, relocation, flexible spending, 401(k), etc.
  • Gross to net calculations, audits and balancing.
  • Document workflow and work procedures.
  • Cross-train designated back-up to administer and process various task and responsibilities.
  • Utilize and create import templates to input payroll data into Ultipro pay worksheets
  • Provide training to payroll staff in the use of automated systems.
  • Validate/audit hours from timekeeping system (new hires, LOA)
  • Perform monthly outstanding check reconciliations
  • Select processing of final payouts and preparation of manual check back-up and route for approvals
  • Preparing and creating standard and ad hoc reports using business report writer tools
  • Run audit reports from Report Writer tools and assist in audit and payroll balancing procedures
  • Review complex payroll reports generated by software; determine readiness to produce checks.
  • Ability to promptly identify and resolve potential complex payroll issues.
  • Prepare and send certain information to internal and external parties as required
  • Display good communication skills to ensure customer service standards are met.
  • Review and analyze payroll error messages and determine necessary response to permit processing to be completed.
  • Assist employees with questions regarding pay issues and interpreting, and applying payroll and benefit laws, rules, regulations, bargaining unit contracts, policies and procedures.
  • Assist with other payroll related special projects, including internal and external audit requests
  • Support payroll shared service management team with preparation of documents, timelines and deliverables.
  • Participate on payroll related cross-functional teams.
 
QUALIFICATIONS
  • BA in Business, Accounting or equivalent work experience including strong knowledge of payroll related subject matters, process flows and analysis
  • FPC or CPP certification or actively preparing to take qualified examination
  • 5+ years of multi-state payroll experience (preferably CA, NY, MN, TX)
  • Experience with payroll policies and procedures with regards to payroll labor calculation of pay, garnishments/liens, and stock income reporting
  • Experience with the payroll of large companies, employee database of 5,000+
  • Strong experience in development of efficiencies in payroll processes and internal controls
  • Intermediate or Advance Microsoft Excel skills
  • Ability to work under tight deadlines and meet deliverables with minimum supervision
  • In-depth knowledge of US tax payroll regulations and reporting requirements, including current federal and multi-state payroll taxes
  • Excellent communication, presentation and facilitation skills
  • Excellent discipline in time management, attention to detail, and analysis
 
KNOWLEDGE AND ABILITIES
 
KNOWLEDGE OF
  • Complex computerized payroll systems (SaaS or Cloud Base Environment).
  • Ability to understand and perform Company procedures, rules, and regulations.
  • Technical aspects of field in payroll industry.
  • Reading and writing English communication skills.
 
ABILITY TO
  • Analyze computerized payroll system problems and recommend solutions.
  • Interpret system reports and analyze data to identify anomalies.
  • Train others in the performance of payroll functions and use of automated systems.
  • Operate standard office equipment including archived payroll software applications (i.e. ADP PCPW, ProBusiness).
  • Establish and maintain effective working relationships with others.
  • Lead, train and direct the work of others.
  • Plan and organize work.
  • Meet schedules and time lines.
  • Maintain records and prepare reports.
  • Work independently with minimum supervision.
  • Read, interpret, apply, and explain rules, regulations, policies, and procedures.
